What can you get from connecting a HubSpot Account?

Connecting your HubSpot account allows YCloud to transform WhatsApp inquiries into HubSpot customer assets.

  1. Once your HubSpot account is connected, when a customer contacts you via WhatsApp, YCloud can:

  • Automatically create Contacts in HubSpot

  • Sync WhatsApp phone number, lead source, tags, and other data to HubSpot properties

  1. After integration, you can continue assigning new leads in HubSpot as usual.

Once a Contact is assigned to a new Owner in HubSpot, the corresponding WhatsApp conversation in YCloud will be automatically reassigned to the same Owner.

3. View HubSpot Customer Data Directly in YCloud Inbox

After integration, you can view HubSpot customer information directly in YCloud Inbox.

In YCloud Inbox, you can:

  • View HubSpot Contact properties in real time (e.g. lifecycle stage, customer status, lead source)

  • Customize which HubSpot properties are displayed

  • Reorder displayed properties based on your settings.

  1. Trigger WhatsApp Template Messages in HubSpot Automation

After the integration, you can use the YCloud Send WhatsApp Message action within HubSpot Automation to send WhatsApp template messages. This allows you to automatically reach customers during their journey.

HubSpot Integration Setup Guide

Prerequisites

Before you start, please make sure:

  • You already have a HubSpot account

  • Your YCloud subscription plan is Pro or Enterprise

Step 1: Connect Your HubSpot Account

  1. Go to the Integrationsarrow-up-right page in YCloud, find HubSpot and click Install

  1. Authorize your HubSpot account to complete the connection

When you see the success page, it means the account has been successfully connected.

Please wait about 5 seconds and you will be automatically redirected to the YCloud configuration page.

Step 2: Configure Contact Attribute Sync

In this step, you define which YCloud contact attributes will be sent to HubSpot when a new Contact is created.

  1. Select the YCloud contact attributes. When a new contact is created in YCloud, these attributes will be synced to HubSpot

  2. Map YCloud attributes to HubSpot Contact properties one by one

Example:

You can map YCloud’s “Phone Number” to HubSpot’s “Phone Number” or “WhatsApp Phone Number”, depending on your business needs.

Step 3: Match User Emails (Optional)

When a Contact Owner is changed in HubSpot, YCloud will sync the new Owner automatically.

To avoid ownership mismatches caused by different login emails in HubSpot and YCloud, you can manually match user emails in this step.

Example:

In this case, you need to manually map these two email addresses to ensure correct owner synchronization.

Step 4: Configure HubSpot Attributes Displayed in Inbox

After connecting HubSpot, you can view HubSpot customer information on the right-side customer panel in YCloud Inbox.

In this step, you can:

  • Select which HubSpot Contact properties to display

  • Customize the display order of properties

After configuration, the Inbox view will look like this:

  • The HubSpot component supports drag-and-drop reordering

  • Some property values can be edited directly within YCloud Inbox (except for certain read-only properties)

Using HubSpot Automation

Go to HubSpot > Automation. From the left panel, find the Send WhatsApp Template Message action and drag it onto the workflow canvas.

Configuration

  • From: Select the business WhatsApp number that will be used to send the message.

  • To:Select the customer’s phone number. You can choose a phone number property from the contact in HubSpot.

  • Template: Select the WhatsApp message template you want to trigger. The template must be created in the YCloud dashboard and approved before it can be used.

  • Template Variable Configuration

    • Header

      • If the template header is an image, video, or GIF, select the corresponding header type and provide the download link of the media file in the variable settings.

      • If the template header is text with variables, select Text as the header type and configure the variable replacement values.

      • If the template does not have a header or the header does not contain variables, no configuration is required.

    • Body Variables: Set the variables in the order they appear in the template, separated by commas. You can either select HubSpot contact properties as variable values or enter fixed values manually.
